# Books that balance themselves.

In poso, accounting is not a separate job at month end. Every sale, purchase, payment and stock movement posts to your books as it happens, in proper double entry.

**Short answer:**
poso includes full double-entry accounting: a chart of accounts for your country, sales invoices and supplier bills, payments, expenses, taxes such as VAT, bank and mobile money reconciliation, customer and supplier statements, and financial reports including profit and loss, balance sheet, general ledger, trial balance and aged balances. Sales and stock post automatically.

## What posts by itself

| Event | What poso records |
|---|---|
| A till sale | Revenue, tax, payment by method, cost of goods sold and the stock decrease |
| An invoice on credit | Revenue, tax and the amount the customer owes |
| A delivery received | The stock increase at cost and what you owe the supplier |
| A supplier bill | The amount due, checked against what was received |
| Stock written off | The loss, in an expense account you choose |
| A transfer between branches | The stock moving, at cost |

## Features

### Chart of accounts

A local chart of accounts and tax setup for many countries, or your own.

### Invoices and bills

Professional invoices with your logo, payment terms and tax, and supplier bills with due dates.

### Bank and mobile money

Import statements from Excel or CSV and match each line to invoices, bills and till takings.

### Taxes

VAT and other taxes per product, including exempt and zero-rated items, with tax reports by period.

### Statements

Customer and supplier statements showing what is owed and how old it is.

### Financial reports

Profit and loss, balance sheet, general ledger, trial balance, aged receivables and payables.

## Margins you can trust

Because every sale carries the cost of what was sold, poso shows gross margin by product, category, branch and period without any spreadsheet work. This is where many shops find that a best-selling item barely makes money, or that one supplier is quietly eroding margins. [Pharmacy accounting basics](https://www.poso.co/guides/pharmacy-accounting-basics/) explains margin vs markup and the numbers to watch.

## Working with your accountant

Give your accountant their own login with accounting access only. They can review entries, reconcile, close the month and run reports without touching the till. Reports export to Excel and PDF.

## Accounting questions

### Do I still need separate accounting software?

Usually not. poso covers invoicing, bills, payments, bank reconciliation, taxes and financial reports. Some businesses keep their accountant's software for year-end filing. See [all-in-one vs separate systems](https://www.poso.co/compare/all-in-one-vs-separate-pos-and-accounting/).

### Does poso produce a profit and loss statement and balance sheet?

Yes, for any period, and by branch for multi-branch businesses, along with the general ledger, trial balance and aged balances.

### Can poso handle VAT-exempt medicines?

Yes. Taxes are set per product, so exempt, zero-rated and standard-rated items can be sold on the same receipt with the right tax on each line.

### Is poso connected to my country's tax authority e-invoicing?

Not yet. poso does not currently connect to systems such as KRA eTIMS or URA EFRIS. Talk to us if you need this.

### Which accounting method does poso use?

Accrual-based double-entry accounting, with cash-basis tax reporting available where your country allows it.
